Reservations and Payments:
A deposit of 20% of the total safari price is required at the time of confirmation of safari arrangements. The remainder of the total quoted tour price is due 45 days before the departure date. If your safari is made within 45 days of departure, the entire cost of the trip must be paid in full on confirmation. Credit Card (Visa & Mastercard) and Direct bank transfer are the only accepted methods of payment.
We can accept payment by credit card but there are a couple of drawbacks: We have to pay the credit card company 5% on any transaction here in Kenya and we add this as a 5% admin charge to the total invoice charges.
In order to counteract fraud, commercial banks here are very fussy about any transactions that are processed when the card-holder is not actually present in Kenya. They require us to obtain a legible photocopy of the card-holder’s passport and the actual credit card, in addition to a letter of authorization from the cardholder confirming we may charge the card and providing us with the following info: Cardholder’s name as it appears on the card, card-holder’s billing address, Visa or MasterCard number, expiry date, the security code and the amount to be charged.
Most of our clients find all this too much of a hassle and prefer to remit payment by direct bank transfer. All bank charges arising from direct bank transfer transactions can be charged to ourselves.
Our cancellation policy is dictated upon by the fact that hotels, lodges, regional airlines and other fully contracted local service providers will charge us cancellation fees if a booking is cancelled or amended. Any cancellation fees charged is aimed at minimizing the financial impact on our business and on our partners. But as a company, we will take every reasonable step at our disposal to minimize or eliminate if possible, these cancellation charges on our clients.
Cancellation charges are as follows:
- Confirmed bookings cancelled or amended upto 90 days before date of travel will incur 10 per cent cancellation charge.
- Confirmed bookings cancelled or amended less than 90 days and up to 60 days before date of travel will incur 20 per cent cancellation charge
- Confirmed bookings cancelled or amended less than 60 days and upto 45 days before the date of travel will incur 30 per cent cancellation charge (Loss of deposit)
- Confirmed bookings cancelled or amended less than 45 days and upto 30 days before the date of travel will incur 50 per cent cancellation charge
- Confirmed bookings cancelled or amended less than 30 days and upto 15 days before the date of travel will incur 75 per cent cancellation charge
- Confirmed bookings cancelled or amended less than 15 days and upto 5 days before the date of travel will incur 90 per cent cancellation charge
